Privacy Policy
Last updated 13 June 2026
GuildHub is a guild-management tool for World of Warcraft. This policy explains what we store and why. We keep it to the minimum needed to run signups, rosters, and the officer cockpit.
What we collect
- Discord identity - your Discord user ID, username, global name, and avatar hash, recorded the first time you interact with the bot or sign in.
- Servers you manage - the Discord servers where you have Manage Server, used to decide which guild cockpits you can access.
- Raid activity - signups you make (character name, class, spec, status) and roster decisions officers make in the cockpit.
Discord sign-in
Officer sign-in uses Discord OAuth with the identify and guilds scopes. We use the resulting access token once to read your identity and server list, then discard it - we do not store Discord access tokens or read your messages.
How we use it
Only to operate the product: resolve signups to members, build and publish rosters, post raid embeds and reminders to your Discord, and render the officer cockpit. We do not sell your data or use it for advertising.
Retention & deletion
Data is kept while your guild uses GuildHub. You can export or permanently delete your guild's data yourself at any time from Settings → General in the app - the delete is immediate and complete, no request or waiting required.
